In the Web Office you can create new cases, follow current cases and search for signed documents in the case archive.

Create a new case

Create new cases in no time. Either start from a template or create a new case.

  • Select the documents to be signed.
  • Select the allowed signature methods.
  • Enter the name and e-mail for the signing parties.

A number of additional options are available, eg. signing order.

Everything looks good? Click ”Send for signing”.
An e-mail message with a link and instructions will be sent to everyone who is going to sign. In the Web Office, you can follow the case and send reminders if necessary.

For those who sign

Anyone who has been asked to sign only need to do just that – sign. No fuss here – they get an e-mail with instructions and a link to the service where the document is securely stored. 

The document can be reviewed in any modern browser on any device (tablet, smart phone or computer). To ensure that the document is the same version that all parties have agreed upon, there is a function that helps someone asked to sign to compare a document with his own copy.

By clicking on “Sign”, the signing process is initiated with eID, touch or SMS depending on the allowed methods for the case.

The signed document and the certificate

Once all parties have signed a document, everyone gets an e-mail with a link to the signed document along with the certificate. At the bottom of each page in the document, there is a fingerprint in the form of a unique code.

The attached certificate contains information about the case and how to proceed in order to verify the authenticity of the signatures.

Verify the authenticity

A document signed with the service can always be validated at a later stage.

The verification can either be done by uploading the signed document, or by manually entering the fingerprint. The certificate also has an QR-code that you can scan for verification.

Follow pending cases

You have full control of all pending cases. Send reminders for cases where all parties haven’t signed, or recall cases that are no longer relevant.

The Web Office supports multiple users, called agents. You and your colleagues can work together and help each other manage and follow up on cases.

Special features

Templates


Create templates for documents and processes you use most often. Enable Web automation for a template and a public link is created, and can be published on your website or included in an e-mail. For fillable forms, all the entered data is stored in a structured way and can be downloaded as an Excel file for further processing.

Batch signing

In cases where a party must sign a large number of agreements, there is support for reviewing all cases simultaneously, and sign each document with a single signature.

Kiosk mode

In many cases, contracts are created on a computer behind a counter. To make it possible for the customer to review the agreement and sign it without printing it, we have developed a solution that we call Point of Sale, which is a Kiosk mode. The customer reviews and signs on a tablet.

ID verification

In many cases, the sales person in the store needs to take a photocopy of your ID, to prove that an identity check has been made. With ID verification you can do the entire process electronically.

E-delivery

This feature has been developed, so that you attach files to a case that automatically will become available after a party has signed the document in the case. A common use case for this is a non-disclosure agreement (NDA) or confidentiality agreement that needs to be signed before sensitive information is made available.
